Employee Terms & Conditions of Use

These Terms & Conditions ("Terms") govern your access to and use of the WowThanks Reward & Recognition Platform ("Platform"), provided by WinWin Group trading as WowThanks ("WowThanks", "we", "our", "us") on behalf of your employer ("Employer").

By registering for, accessing, or using the Platform, you confirm that you have read, understood, and agree to be bound by these Terms.

1. About the Platform

WowThanks is an employee reward, recognition, wellbeing, savings and engagement platform provided to employees through their Employer.

The Platform enables employees to access a range of benefits and services, which may include:

  • Employee recognition and reward programmes
  • Recognition Points
  • WowCredit
  • Employee competitions and prize draws
  • Discounts and special offers
  • Discounted gift cards
  • Hotel and travel offers
  • Restaurant Club benefits
  • Grab A Movie benefits
  • Discounted cinema memberships
  • Fitness and wellbeing services
  • Employee engagement tools
  • Suggestion and innovation programmes
  • Employee referral programmes
  • Peer recognition and shout-outs
  • Birthday and work anniversary recognition

Availability of specific features may vary by Employer, location, subscription package, or third-party provider.

2. User Registration & Account Security

Access to the Platform is provided through your Employer.

Upon registration:

  • You are responsible for creating and maintaining your login credentials.
  • You must keep your password confidential.
  • You are responsible for all activity conducted through your account.
  • Your Employer cannot access your password or log into your account using your credentials.
  • You must notify WowThanks immediately if you believe your account has been compromised.

You agree not to:

  • Share your login credentials with others.
  • Allow another person to use your account.
  • Attempt to gain unauthorised access to other users' accounts or Platform systems.

3. Employee Competitions & Prize Draws

The Platform may provide access to competitions, prize draws, games, surveys and promotional campaigns.

These may be provided by:

  • WowThanks;
  • Your Employer; or
  • Approved third-party partners.

Participation is voluntary.

Additional competition-specific terms may apply to individual promotions.

WowThanks reserves the right to:

  • Modify competition rules;
  • Withdraw competitions;
  • Substitute prizes of equal value;
  • Disqualify participants who breach these Terms or engage in fraudulent activity.

Prizes are non-transferable unless otherwise stated.

No cash alternative will be provided unless expressly specified.

4. Discounts, Offers & Cashback Services

The Platform may provide access to discounts, promotional offers and cashback opportunities from third-party merchants.

You acknowledge that:

  • Discounts are provided by third-party merchants.
  • Availability may vary.
  • Discounts may be amended or withdrawn at any time.
  • WowThanks does not guarantee the availability of any offer.
  • Merchant terms and conditions apply to all purchases.

Transactions take place directly with the merchant unless otherwise stated.

Any dispute relating to products, services, delivery, quality, refunds or warranties must be addressed directly with the relevant merchant.

5. Gift Cards for Less

The Platform may provide access to discounted gift cards.

You acknowledge that:

  • Discounts may vary from time to time.
  • Available brands may change without notice.
  • Gift card values and promotions may be limited.
  • Gift cards are issued by third-party providers.

By purchasing or redeeming a gift card you agree to:

  • The gift card provider's terms;
  • The issuing retailer's terms;
  • Any applicable expiry dates or restrictions.

Once issued, gift cards are generally non-refundable and non-exchangeable unless required by applicable law.

WowThanks accepts no responsibility for retailer insolvency, business closure or changes to retailer gift card policies.

6. Hotel Deals

The Platform may provide access to discounted accommodation and travel services.

Bookings are fulfilled by approved travel and accommodation providers.

All bookings are subject to:

  • Supplier terms and conditions;
  • Cancellation policies;
  • Availability restrictions;
  • Booking conditions.

WowThanks acts solely as a promotional and access platform and is not responsible for:

  • Accommodation quality;
  • Service delivery;
  • Booking disputes;
  • Supplier cancellations.

7. Restaurant Club

The Platform may include access to Restaurant Club benefits through participation in the EarlyTable dining platform.

Where provided by your Employer:

  • Employees may receive up to two (2) EarlyTable credits per calendar month.
  • Credits may be amended by your Employer.
  • Unused credits may expire in accordance with programme rules.

Restaurant bookings remain subject to:

  • EarlyTable terms and conditions;
  • Individual restaurant policies;
  • Reservation availability.

Restaurant participation may change without notice.

8. Grab A Movie Benefit

Where included within your Employer's subscription package:

Employees may receive access to:

  • Two (2) complimentary movie vouchers per year;
  • Typically issued as one voucher every six months.

Availability, participating content and redemption methods may vary.

Unused vouchers may expire in accordance with programme rules.

9. Discounted Cinema Membership

The Platform may provide access to discounted cinema ticket purchasing through approved partners, including Cinema Society.

Cinema tickets and memberships are subject to:

  • Cinema Society terms;
  • Participating cinema terms;
  • Venue restrictions;
  • Availability.

Ticket prices and discounts may change without notice.

10. Fitness & Wellness Services

The Platform may provide access to fitness and wellbeing services through approved providers including WithU and similar partners.

Such services may include:

  • Fitness programmes;
  • Exercise plans;
  • Personal training content;
  • Wellness content;
  • Mindfulness and wellbeing resources.

You acknowledge that:

  • Participation is entirely voluntary.
  • Fitness content is for general wellbeing purposes only.
  • You should seek medical advice before commencing any exercise programme where appropriate.

WowThanks accepts no liability for injury, illness or adverse outcomes arising from participation in fitness activities.

11. Recognition Points & WowCredit

Employers may allocate Recognition Points to employees through the Platform.

Points may be awarded for:

  • Recognition;
  • Performance;
  • Milestones;
  • Referrals;
  • Suggestions;
  • Competitions;
  • Employer-led campaigns.

Points themselves hold no cash value.

Where your Employer participates in a WowCredit conversion programme:

  • Points may be converted into WowCredit at rates determined by your Employer.
  • Conversion schedules may operate quarterly or otherwise.
  • Conversion rates may vary by Employer programme.

WowCredit may be redeemed for:

  • Digital gift cards;
  • Virtual payment cards;
  • Products;
  • Experiences;
  • Other rewards available within the Platform.

Redemption options may vary by country, supplier and programme.

12. Taxation & Small Benefit Exemption

Where rewards are issued under the Irish Small Benefit Exemption ("SBE") or similar tax-efficient schemes:

  • Your Employer remains responsible for determining programme eligibility.
  • Employees remain responsible for understanding their personal tax obligations.
  • WowThanks does not provide tax, financial or legal advice.

Tax treatment may vary depending on:

  • Jurisdiction;
  • Employer programme rules;
  • Applicable legislation.

13. Offboarding & Leaving Employment

Access to the Platform is linked to your employment with your Employer.

Upon termination of employment or removal from your Employer's programme:

  • Platform access may be withdrawn.
  • You will generally receive notice of pending account closure.
  • You will normally be provided with a seven (7) day redemption period to redeem available WowCredit.

During this period you may:

  • Redeem WowCredit through the Platform; or
  • Contact WowThanks Support for assistance.

Following closure of your account:

  • Unredeemed WowCredit may be forfeited.
  • Access to rewards and services will cease.
  • Historical account data may be retained where legally required.

Nothing within these Terms guarantees indefinite retention of rewards following cessation of employment.

14. Employee Content & Platform Visibility

Certain information you submit through the Platform may be visible to:

  • Your Employer;
  • Platform administrators;
  • Other authorised users.

This includes, but is not limited to:

  • Shout-outs and recognition posts;
  • Suggestion Box submissions;
  • Referral programme submissions;
  • Comments and engagement activity;
  • Birthday and anniversary information;
  • Community feed content.

By submitting content you grant WowThanks and your Employer the right to display and administer that content within the Platform.

You agree not to submit:

  • Offensive content;
  • Defamatory content;
  • Discriminatory content;
  • Confidential information;
  • Illegal content.

15. Data Protection & Privacy

WowThanks processes personal data in accordance with applicable:

  • Irish data protection legislation;
  • UK GDPR;
  • EU GDPR;
  • Applicable employment and privacy laws.

Personal data may be processed for:

  • Account administration;
  • Reward fulfilment;
  • Recognition programmes;
  • Engagement reporting;
  • Customer support;
  • Security and fraud prevention.

Your Employer may receive reporting and engagement information relating to your participation within the Platform.

16. Platform Availability

While we aim to provide uninterrupted access, we do not guarantee that the Platform will always be available.

We may:

  • Perform maintenance;
  • Update services;
  • Introduce new features;
  • Remove features;
  • Suspend access where necessary.

17. Limitation of Liability

To the fullest extent permitted by law, WowThanks shall not be liable for:

  • Indirect losses;
  • Consequential losses;
  • Loss of earnings;
  • Loss of opportunity;
  • Third-party merchant disputes;
  • Supplier insolvency;
  • Product defects supplied by third parties;
  • Travel or accommodation provider failures.

Nothing in these Terms excludes liability where exclusion is prohibited by law.

18. Changes to These Terms

We may update these Terms periodically.

Updated Terms will be published within the Platform.

Continued use of the Platform following publication of revised Terms constitutes acceptance of the updated Terms.
